Information you provide directly: name, email address, phone number, organization name (when applicable), transport trip details (origin, destination, dates, and related logistics), and messages or inquiries you send us.

Automatically collected information: IP address, browser/device characteristics, referring/exit pages, operating system, date/time stamps, usage data (pages visited, clicks) and cookies or other tracking technologies.

Information from third parties: when you engage with Providers or Affiliates via the Platform, or when we obtain data from our service providers, partners or public sources.

We collect your reported transport funding information and related funding confirmations to administer commission eligibility. We share only the minimum necessary funding outcome, review provenance, and associated case and booking identifiers with our CRM service provider for that purpose.

3. How we use your information

We use your personal information for the following purposes:

• To provide, operate and maintain the Platform and our services.
• To facilitate introductions and referrals between you, Providers, and Affiliates.
• To process and manage quote requests, bookings, communications, and confirmations (transport services and any payments are arranged directly between requesters and the operators they choose).
• To improve, customise and personalise your experience (e.g., presenting relevant Affiliates or Providers).
• To send you notifications, updates, promotional communications (where you consent) and respond to your inquiries.
• To monitor, prevent or investigate fraud, abuse, security issues or misconduct.
• To comply with legal obligations, enforce our Terms & Conditions, or respond to regulatory requests.

4. How we may share your information

We may disclose your personal information to:

• Participating affiliates authorized to view your case. Before any affiliate submits a proposal, we share your requester type, name, organization name when available, email address, and phone number so participating affiliates can evaluate the case, prepare a proposal, coordinate insurance or other payment details, and contact you directly for additional information. This sharing continues after proposal submission and booking as needed for case coordination. Do not use direct follow-up to transmit patient medical information or patient-identifiable information.
• Service providers, contractors or agents who assist us with platform operations (e.g., hosting, data analysis, customer service).
• Authorities, regulators, or enforcement bodies when required by law or to protect rights, property or safety.
• In connection with a merger, acquisition, sale of assets or change in control — your information may be transferred as part of that transaction.

Essential cookies support core platform functionality. Optional analytics and marketing cookies remain off unless you select Accept; if you select Decline, optional cookies remain off. Your choice is stored for 180 days.

Google reCAPTCHA

We use Google reCAPTCHA v3 on our login and registration pages to protect against spam, abuse, and automated attacks. reCAPTCHA works invisibly in the background by analyzing user behavior to distinguish between humans and bots.

Data collected by reCAPTCHA includes: IP address, cookies, browser and device information, mouse movements, clicks, and other behavioral signals. This data is processed by Google and subject to Google's Privacy Policy.

BookMediFly is operated by MediFly LLC, a United States company based in Wyoming. Your personal information is stored and processed in the United States. If you access the Platform from outside the United States, your information will be transferred to and processed in the US. We also use trusted third-party service providers that may process data in other jurisdictions; where they do, we ensure appropriate safeguards are in place (such as contractual obligations or standard data-protection clauses) in accordance with applicable law.

We retain your personal information only for as long as necessary to fulfil the purposes described in this policy, or as required by law. We implement reasonable technical and organisational measures to protect your information from unauthorised access, disclosure, alteration or destruction.
