This printable overview summarizes BookMediFly's public operating, information-handling, payment, support, security, and operator-review boundaries. It is not a certification, audit report, legal opinion, or customized security questionnaire response.
Roles and responsibilities
BookMediFly
BookMediFly is a software marketplace and quote-coordination platform for scheduled fixed-wing medical transport. It helps requesters connect with participating operators and compare operator-submitted quotes. BookMediFly does not operate aircraft, provide medical care, dispatch emergency services, select an operator, or arrange the transport itself.
Participating operators
Operators are independent companies responsible for their aircraft, crews, medical staffing, operating authority, insurance, trip planning, pricing, availability, and delivery of transport.
Requester or authorized intermediary
The requester provides accurate contact and non-clinical trip details, reviews operator responses, selects any operator it chooses, and confirms the operator's current terms, capabilities, and documentation directly.
Information boundary: no PHI
Do not submit protected health information (PHI) or patient-identifiable information.
Patient names, diagnoses, treatment plans, medical record numbers, dates of birth, Social Security numbers, insurance member numbers, and any of the 18 HIPAA-defined identifiers must not be entered.
The current product workflow is designed not to receive PHI and is limited to the basic contact and non-clinical trip details needed to coordinate a quote request.
This overview does not claim that BookMediFly is a HIPAA covered entity or business associate, and it does not represent that a business associate agreement (BAA) applies to the current no-PHI workflow.
Contact and trip information
BookMediFly may collect and store:
- Name, email address, phone number, and organization name when applicable.
- Origin, destination, requested date, and related non-clinical trip logistics.
- Messages, inquiries, and account or request activity needed to operate and protect the platform.
- Technical and usage information described in the Privacy Policy.
Request details are shared with participating operators the requester is connected to so those operators can review and respond.
Contracts and payments
Any transport agreement, payment, refund, or dispute is handled directly between the requester and the selected operator. BookMediFly does not collect or process transport payments, act as escrow, or add a markup to operator-submitted quotes.
Security information
The public Security page describes current application safeguards, information access, request sharing, third-party service-provider categories, and the limitation that no internet service can promise absolute security. It does not claim a particular compliance certification or healthcare business-associate status.
Documentation-based operator review
Participating operators submit FAA Part 135, insurance, and, when provided, accreditation documentation for review at onboarding. Documentation review is not an endorsement, ranking, guarantee, or certification of an operator. Requesters should confirm current details directly with the operator before booking.

Platform support is available Monday through Friday, 8:00 AM to 5:00 PM Central Time, at support@bookmedifly.com. Support can assist with account access, quote-request workflow, reviewing operator responses, and general use of the BookMediFly platform.
