This printable overview summarizes BookMediFly's public operating, information-handling, payment, support, security, and Affiliate-review boundaries. It is not a certification, audit report, legal opinion, or customized security questionnaire response.
Roles and responsibilities
BookMediFly
BookMediFly is a software marketplace and quote-coordination platform for scheduled fixed-wing medical transport and related Commercial Assist / Medical Escort services. It helps requesters connect with participating Affiliates and compare Affiliate-submitted responses. BookMediFly does not operate aircraft, provide medical care, dispatch emergency services, select an Affiliate, or arrange the transport itself.
Participating Affiliates
Affiliates are independent companies responsible for the personnel, equipment, insurance, licenses, permits, credentials, approvals, planning, pricing, availability, and services applicable to their role. Affiliates that operate aircraft are also responsible for their aircraft, crews, and applicable operating authority.
Requester or authorized intermediary
The requester provides accurate contact and non-clinical trip details, reviews Affiliate responses, selects any Affiliate it chooses, and confirms the Affiliate's current terms, capabilities, and documentation directly.
Information boundary: no PHI
Do not submit protected health information (PHI) or patient-identifiable information.
Patient names, diagnoses, treatment plans, medical record numbers, dates of birth, Social Security numbers, insurance member numbers, and any of the 18 HIPAA-defined identifiers must not be entered.
The current product workflow is designed not to receive PHI and is limited to the basic contact and non-clinical trip details needed to coordinate a quote request.
This overview does not claim that BookMediFly is a HIPAA covered entity or business associate, and it does not represent that a business associate agreement (BAA) applies to the current no-PHI workflow.
Contact and trip information
BookMediFly may collect and store:
- Name, email address, phone number, and organization name when applicable.
- Origin, destination, requested date, and related non-clinical trip logistics.
- Messages, inquiries, and account or request activity needed to operate and protect the platform.
- Technical and usage information described in the Privacy Policy.
Request details are shared with participating Affiliates the requester is connected to so those Affiliates can review and respond.
Contracts and payments
Any transport agreement, payment, refund, or dispute is handled directly between the requester and the selected Affiliate. BookMediFly does not collect or process transport payments, act as escrow, or add a markup to Affiliate-submitted responses.
Security information
The public Security page describes current application safeguards, information access, request sharing, third-party service-provider categories, and the limitation that no internet service can promise absolute security. It does not claim a particular compliance certification or healthcare business-associate status.
Documentation-based Affiliate review
Affiliates that operate aircraft submit applicable operating-authority documentation, including FAA Part 135 information where applicable, along with insurance and any accreditation documentation they provide. Commercial Assist / Medical Escort Affiliates submit the role-appropriate licenses, registrations, insurance, permits, credentials, and approvals applicable to their services. Documentation review is not an endorsement, ranking, guarantee, or certification of an Affiliate. Requesters should confirm current details directly with the Affiliate before booking.

Platform support is available 7 days a week, 8 AM–8 PM CT, at +1 210-538-4812 or support@bookmedifly.com. Support can assist with account access, quote-request workflow, reviewing Affiliate responses, and general use of the BookMediFly platform.
